LEGAL HOLDS ADMINISTRATOR

Under the supervision of the Litigation Support Services Manager and in coordination with in-house litigation and claims counsel and paralegals, manages the company’s legal holds procedure and legal holds software and matter management software applications in support of the company’s litigation, claims and investigation activities worldwide.

JOB SUMMARY:

Administers legal holds, the PSS/Atlas legal holds software application and the company’s matter management applications. Works with in-house counsel and paralegals responsible for the company’s litigation, claims and investigations to coordinate identification of personnel subject to legal holds and preservation obligations, including collection of materials and information related to the company's disputes. Performs regular checks of software applications to ensure quality and accuracy. Develops and generates standard and ad hoc reports from legal holds and matter management software systems. Conducts software training.

RESPONSIBLITIES AND DUTIES:

  • In coordination with in-house counsel, manages use of legal holds software PSS/Atlas.

  • Advises in-house attorneys, paralegals and IS&T personnel on legal holds best practices.

  • Monitors and maintains compliance with legal holds protocols.

  • Works with Litigation Support Services Manager and in-house counsel to establish standard practices for use of legal holds software.

  • Works with in-house counsel to define legal holds requirements and designs matter specific protocols.

  • Conducts searches for persons of interest and potentially relevant sources of information.

  • Coordinates retrieval, preservation, organization and collection of company’s electronic records at the direction of counsel. On worldwide basis, manages collection of data from employees on litigation hold who leave the company.

  • Works with IS&T on preservation plans and collections.

  • Responds to inquiries from company employees regarding their preservation holds obligations and manages follow-up with employees on litigation hold.

  • Assists in-house counsel and paralegals with the issuance of large litigation holds notices.

  • Conducts quality checks and audits of matter and holds data. Compiles statistics on quality of data.

  • Works to develop data consistency across matters.

  • Designs complex database searches.

  • Prepares regular and ad hoc reports for legal teams, records managers and IS&T from various systems including matter management and legal holds software systems.

  • Administers access to matter management and legal holds software. Edits and maintains litigation hold and preservation plan templates.

  • Tracks, troubleshoots and resolves software issues.

  • Assists with software installations and upgrades, analyzes and troubleshoots application issues.

  • Administers and maintains inventories of legal information assets including legal holds software servers.

  • Facilitates and conducts training sessions on preservation holds and matter management software.

  • Prepares training materials and coordinates user group meetings.

  • Creates and maintains project documentation, ensuring a clear audit trail.

  • Works on other litigation support and e-discovery projects as requested.

BASIC QUALIFICATIONS:

  • Bachelor’s degree.

  • A minimum of 7 to 10 years’ experience in litigation support working on large, complex litigation in a large law firm, corporate legal department or at a national vendor of litigation support services.

ADDITIONAL QUALIFICATIONS:

  • Knowledge of and experience working with Microsoft Office (particularly Excel and Access)

  • Knowledge of structuring Boolean searches and SQL search logic.

  • Advanced knowledge of litigation applications and discovery processes and technologies, including e-discovery. Experience with Atlas PSS a plus.

  • Superior attention to detail, problem solving capabilities and multitasking skills.

  • Must be proactive, able to work independently, prioritize workload, exercise judgment and discretion and act as liaison among IS&T, in-house and outside counsel.

  • Must be able to analyze and interpret information and make recommendations for action.

  • Must be at ease communicating in professional manner, both in writing and orally. Ability to articulate complex technical issues to non-technical audiences.

  • Must be comfortable working with all levels of in-house and outside counsel personnel.

  • Ability to travel occasionally.
